Privacy

What we collect

When you request a report, we collect your email address, project type, optional ZIP code and contractor label, file metadata, the generated analysis, payment status, and basic security logs. Support submissions are stored with the contact details and message you provide.

Your estimate file

The original uploaded file is placed outside the public web directory while analysis runs and is removed from our server when that analysis finishes, including when analysis falls back after an error. We retain a SHA-256 fingerprint, filename, file type, and generated report; the fingerprint cannot be used to reconstruct the file.

Processing services

OpenAI processes submitted estimate content to generate the report. Stripe processes payment and billing details; QuoteProof does not store full payment-card numbers. Our hosting and mail systems process the information needed to run the service and deliver account links and receipts.

How we use information

We use information to create and deliver reports, confirm payment, provide account access and support, prevent abuse, reconcile transactions, measure our own funnel, and improve reliability. We do not sell customer personal information.

Retention and control

Generated reports, payment records, and support history are retained for service and accounting continuity. Use the support form to request access, correction, or deletion. Some transaction records may be retained where reasonably required for fraud prevention, accounting, or legal obligations.

Security

QuoteProof uses encrypted HTTPS transport, server-side access controls, rate limits, one-time account links, verified payment webhooks, and private storage outside the document root. No system can guarantee absolute security.
